Planning Cadence and Metrics

Adopt a weekly planning cadence, an emergency lane, and the metrics that turn the planner from a tool into a habit.

Planning Cadence and Metrics

Good planning is a rhythm, not a sprint. A weekly sweep, a clear emergency lane, and a few honest metrics turn the planner from a tool into a habit.

The Weekly Sweep

  1. Monday morning: confirm this week's calendar and shifts are accurate
  2. Mid-week: check capacity bars, rebalance anyone trending red
  3. Friday: pre-load next week's backlog against available hours

Handling Emergencies

  • Reserve 15 to 20 percent of each tech's day for emergent work
  • When a real emergency hits, drop it onto the least-loaded qualified tech
  • Afterward, replay the displaced work into the newly freed slots

Metrics to Watch

  • Schedule compliance — percent of planned work done as planned
  • Backlog age — how old the oldest unassigned ticket is
  • Overtime hours — the hidden cost of poor planning

Tips

Pick one metric and improve it for a month before adding the next. Dashboards full of numbers nobody acts on are just decoration.
